Boyd Group is committed to protecting the privacy and security of your personal information obtained by reason of your customer relationship with Boyd or its affiliates. This policy explains the types of personal information we collect, how it is used, and the steps we take to ensure that the privacy of your personal information is appropriately protected.
Our policies and practices have been designed to comply with the Personal Information Protection and Electronic Documents Act (PIPEDA) and corresponding provincial privacy acts.
Who is BOYD?
Boyd Group Services Inc. (”BGSI”) is a Canadian corporation and controls the Boyd Group Inc. and its subsidiaries (“Boyd” or the “Company”). Boyd Group Services Inc. shares trade on the Toronto Stock Exchange under the symbol BYD. The Boyd Group Inc. (the “Company”) is one of the largest operators of non-franchised collision repair centers in North America in terms of number of locations and sales. The Company currently operates locations in Canada under the trade names Boyd Autobody & Glass and Assured Automotive, as well as in the U.S. under the trade name Gerber Collision & Glass. In addition, the Company is a major retail auto glass operator in the U.S. with operations under the trade names Gerber Collision & Glass, Glass America, Auto Glass Service, Auto Glass Authority and Autoglassonly.com. The Company also operates a third party administrator Gerber National Claims Services (“GNCS”) that offers first notice of loss, glass and related services.
What is Personal Information?
Personal information is information that refers to an individual specifically and is recorded in any form. Personal information includes such things as age, income, date of birth, ethnic origin, unique identification numbers, medical and financial data.
Information about individuals contained in public telephone directories (where a subscriber can refuse to be listed), professional and business directories available to the public, certain public registries and court records, and certain other publicly available publications is not considered personal information.
What Personal Information does BOYD Collect and How is it Used?
The Boyd Group collects two types of information: personal information and non-personal information. We will identify the purpose for which your personal information is collected, either before or at the time that we collect your personal information. Listed here are some examples of the purposes for which we may collect, use or disclose your personal information;
- Processing Collision Repairs
In order for BOYD to process the repair of your vehicle you may need to provide us with contact and payment information (such as your credit card information and or insurance coverage information) so that we can process your repair. - Conducting Customer Satisfaction Surveys
Having to have a car repaired after an accident can be a rather traumatic experience. Providing help to our customers in a caring and professional manner is at the heart of what The Boyd Group does. In order to ensure a superior level of service Boyd acquires customer feedback through the use of telephone surveys. Personal information regarding your individual preferences may be collected during these surveys and used to improve our customer service levels. - Offering an Opportunity to Participate in a Contest, Promotion, or Survey
From time to time, we may run contests, promotions, or surveys. If you participate, you may be asked for contact information as well as additional optional survey information (for example, prize preferences). Information from contest entries will be used to contact you if you win. We may also summarize survey information in a manner that no longer identifies the contest entrants for analysis, but will not share personal information from entries. All contests are subject to rules that will be available with each particular contest.
You can always choose not to provide us with any of your personal information. However, if you make this choice we may not be able to provide you with the product, service, or information that you requested. For example, we can only offer you the use of a vehicle if we are able to take a copy of your valid drivers license.
How does BOYD Obtain Consent to Collect, Use and Disclose My Personal Information?
Boyd Group obtains your consent to collect, use or disclose personal information. The method of obtaining consent is appropriate to the type and sensitivity of personal information being collected, used or disclosed.
In some cases, your consent is implied if we ask you to provide personal information with a stated purpose. For example, we can only keep you informed on the progress of the repairs to your vehicle if you provide us with your phone number or e-mail address. Before we can begin work on your vehicle we require you to sign the repair order indicating the work that is to be completed. You will be given the opportunity, before you sign the repair order to withdraw your consent to have your information used for customer satisfaction feedback. If you have “opted in” by not directing us to withhold your information from customer satisfaction surveys, we will always provide you the opportunity to “opt-out” at a later date. For example, upon completion of the repair order you will again be given the opportunity to change your decision by indicating that you wish to withdraw your consent.
In other cases, we will ask you to give your express consent to collect, use or disclose your personal information where such information would be considered sensitive. For example, we would obtain your express consent to disclose your personal information should you enter a contest or promotion BOYD may offer.

Does Boyd Limit the Collection of My Personal Information?
Boyd Group collects only the personal information required to provide our products and services to you. If the personal information we require is collected for a reason other than to provide products and services, we will advise you of the reason and obtain your consent before or at the time the information is collected. Boyd Group will only collect personal information by fair and lawful means.
The following are some examples of why we collect your personal information;
- Process repairs to your vehicle as explained on the repair order;
- Keep you informed on the progress of the repairs to your vehicle;
- When necessary, keep your insurance company informed of the repairs;
- Process your payment for services rendered as necessary;
- Offer new products and services;
- Measure and improve the effectiveness of our Web Sites or our marketing endeavors;
- Provide us with customer satisfaction feedback to improve our customer service to you.
We may also collect and summarize customer information in a format that no longer identifies the individual for statistical purposes.
Does BOYD Limit the Use, Disclosure and Retention of My Personal Information?
BOYD uses and discloses your personal information only for the purposes it was collected. BOYD does not sell or rent personal information to any organization or person for any reason. However we may share your information with third parties acting on our behalf or as permitted or required by law.
BOYD may share your personal information with certain third party service providers in order to provide products and services to you, to verify and validate information, and to address customer service matters. To reduce the risk of fraud or misuse of personal information, BOYD may also verify your personal information, including but not limited to your address and credit card information, with third party service providers.
We will use reasonable efforts to ensure that your personal information is used in a manner that is consistent with this Policy. If your personal information is shared with third parties, these third parties will be bound by appropriate agreements with BOYD to secure and protect the confidentiality of your personal information. If you do not wish us to provide your personal information to those service providers, we may be unable to process your transaction.
BOYD may disclose your information as permitted or required to by law; for example:
- to a government institution or other person or entity that has asserted its lawful authority to obtain the information;
- where we have reasonable grounds to believe the information could be useful in the investigation of unlawful activity;
- to comply with a subpoena or warrant or an order made by a court, person or entity with jurisdiction to compel the production of information;
- to comply with court rules regarding the production of records and information; and
- to our legal counsel.
BOYD retains your personal information only as long as it is required for our business relationship or as required by federal or provincial laws. Does BOYD Keep My Personal Information Up To Date and Accurate?
BOYD makes all reasonable efforts to keep your personal information up to date, accurate and relevant for its intended use.
You may request access to the personal information we have on record in order to review and amend the information, as appropriate. In circumstances where your personal information has been provided by a third party, we will refer you to that party (e.g. credit bureaus). How does BOYD Protect My Personal Information?
The security of your personal information is a high priority for BOYD. We maintain appropriate safeguards and security measures to protect your personal information, whether recorded on paper or captured electronically, against unauthorized access, disclosure, or misuse, including;
- physical security measures such as restricted access facilities and locking filing cabinets
- electronic security measures for computerized personal information such as password protection and encryption where appropriate
- organizational processes such as limiting access to personal information to a selected group of individuals,
- contractual obligations with third parties who need access to your personal information requiring them to protect and secure your personal information
Although we cannot take responsibility for any theft, misuse, unauthorized disclosure, loss, alteration or destruction of data by a third party, we take reasonable precautions to prevent such occurrences.

BOYD is committed to providing you with understandable and easily available information about our privacy policy and practices related to the management of your personal information. Does BOYD Provide Access to My Personal Information?
You can request access to your personal information to verify, update, or correct it, and to have any obsolete personal information removed. You can also request to review any of your personal information that we have retained, how we have used it, and to whom we have disclosed.
Subject to certain exceptions prescribed by law, and provided we can authenticate your identity, you will be given reasonable access to your personal information, and will be entitled to challenge the accuracy and completeness of the information and to have it amended as appropriate.
You can also ask us to change your preferences regarding how we use or disclose your information, or let us know that you do not wish to receive any further communication from us.

Will this Privacy Policy Change?
To accommodate changes in our service, the technology, and legal developments, this Policy may change over time. We may add, change, or remove portions of this Policy when we feel it is appropriate to do so. Whenever we update this Policy we will change the date on the Policy to indicate when the changes were made.
Information BOYD Collects Automatically
Like many other Web sites, we automatically collect certain non-personal information regarding Web site users that does not identify you. Examples include the Internet Protocol (IP) address of your computer, the IP address of your Internet Service Provider, the date and time you access the Web Site, the Internet address of the Web site from which you linked directly to the Web Site, the operating system you are using, the sections of the Web Site you visit, the Web Site pages read and images viewed, and the content you download from the Web Site.
This non-personal information is used for Web Site and system administration purposes and to improve the Web Site.
